SVT Brahmotsavam - Guidelines for Annadhanam
SVT welcomes various community groups in managing the Annadhanam on allocated days during the Brahmotsavam Festival (9th Oct-18th Oct, 2010). As this Festival is our Thanksgiving to the Lord Venkateswara for His protection of the mankind, we’re privileged to offer all devotees/visitors free meals during lunch hour (12 noon-2pm) at the temple.
Please note that Temple Canteen will also operate (8am-7pm) throughout the Brahmotsavam Festival days (SAT 9th Oct to MON 19th Oct).
SVT committee sincerely thanks all the community groups in Annadhanam effort & assures our support in its success. Here are some guidelines to follow:
- Each community group will undertake the Annadhanam on their respective allocated days. It is your full responsibility to ensure proper preparation and serving of fresh, quality food on the allocated day. More importantly it is your duty to clean the serving area and the utensils with your volunteers immediately after the serving of the food.
- You will recruit your own volunteers for cooking, serving and cleaning. In addition, each group will arrange and provide names of 3 volunteers for Morning (8am to 1pm) and 3 for the afternoon (1pm to 7 pm) shifts on weekdays and 6 each volunteers on weekend days, to support Temple Canteen operation. If you are unable to do so please let Mr. Namasivayam well in advance so that alternative arrangements could be made.
- You will select the Menu of your choice for serving (There is an expectation that each group would serve their regional speciality on the day).
- The Temple will make available to all the community groups the kitchen & serving areas, gas, water, electricity and large utensils, Gas cookers and Gas operated Rice Cookers (50 cups capacity). Groups must use these carefully, clean up and return those items to Temple Canteen each day after use (4pm), so the next group may start their preparation same night or next day early morning.
- The Temple will also bulk purchase and provide the following items to all groups at no cost: Rice (Ponni), Cooking Oil, Sugar, Dhal (toor), milk, disposable Plates (green friendly), Spoons, Cups and Napkins. The required quantities to be agreed with SVT Committee representative responsible (Nama), at least three weeks prior to the day of your event. This can be re-confirmed one week prior to the day.
- Any group wishing to pay for Annadhanam (some have expressed a desire to meet the expenses) are welcome to do so by paying whatever monies collected for the purpose to the Treasurer and obtain a receipt for such.
- Purchase of perishable items such as vegetables/fruits and specific spices will be the responsibility of each group as the group would be deciding on the menu for its day. The Association expects each group to meet the expense relating to these items (for reasons of administrative convenience).
- The following number of estimated devotees to be served Annadhanam, so please come prepared with sufficient volunteers. Weekdays: 300-400 devotees (serves). Weekends: 3000-4000 devotees (serves). These estimates can be refined as we reach closer to the utsavam days. Annadhanam will be served between 12noon-2pm every day at the Canteen area (back of temple).
- Annadhanam cooking at the temple may be started as early as possible (5am or 6am). You may also prepare a few things previous night or bring them from home. Pls inform Nama on your arrival times and special parking requirements.
- Annadhanam groups need not provide drinks as SVT Canteen will set up and run separate booths (all 10days) serving coffee/tea/soft drinks/water etc. on cost basis. Annadhanam groups need only supply a volunteer as indicated above.
- SVT will set up a table for public distribution of Prasadams by devotees, in the Annadhanam area. Serving of Prasadams will NOT be allowed in the corridor between the two temples during Brahmotsavam period, unlike normal times.
- Safety & Security are paramount. Kindly ensure everyone follows Guidelines & Safety procedures. Temple administration is planning to provide an OH&S briefing to each group coordinators or nominated representatives before the event.
Management & co-ordination:
The nominated Annadhanam coordinator from each group will liaise only with Mr. V.P.Namasivayam (Nama), SVT Committee representative responsible for Canteen/Kitchen management, for all issues related to Annadhanam & Canteen. Kindly call & discuss Number & Types of Utensils required and number of volunteers available. SVT will also continue to run its Canteen on all 10 days. It is requested that Annadhanam staff refrain from any demands on Canteen staff to ensure smooth functioning.
